Terms, Conditions and additional tent and delivery information

Peterborough Tent and Event Rentals does 100% of their contracts/invoices Via email thus our emails act as a binding contract. We ask that you please read all terms and conditions on your invoice(s) and email(s). If you have any questions or concerns with the terms and/or conditions, please contact us right away via E-mail A 3% processing fee is applied to any credit card payments.

RENTAL AND INVOICE TERMS

ALL invoices become a binding contract after a 30% Non-refundable deposit is made for the items you would like to reserve. All deposits are non-refundable. We understand that numbers change so we allow a 15% variance in numbers, changes beyond that could result in a loss of your 30% deposit on the item(s) or a restocking charge (depending on the date of changes) whichever is greater will be applied.

DAMAGE WAIVER and SECURITY DEPOSIT

PETERBOROUGH TENT AND EVENT RENTALS ADDS A DAMAGE WAIVER FEE OF 7% OF THE TOTAL RENTALS BEFORE TAXES ON ALL RENTAL ITEMS (EXCLUDING THE TENTS) THIS WAIVES YOUR RESPONSIBILITY FOR ACCIDENTAL DAMAGE UNDER NORMAL USE TO THE RENTAL ITEMS WHILE IN YOUR POSSESSION AND CONTROL. ABUSE, NEGLIGENCE, THEFT AND/OR MISSING ITEMS ARE NOT COVERED BY THIS DAMAGE WAIVER AND WILL BE AN EXTRA CHARGE TO THE CLIENT. DAMAGED OR BROKEN ITEMS MUST BE RETURNED FOR THE DAMAGE WAIVER TO APPLY. YOU THE CLIENT, ARE PERSONALLY RESPONSIBLE FOR INSPECTING ALL RENTAL ITEMS PRIOR TO THEIR USE ON THE EVENT DATE AND FIND THEM SUITABLE FOR USE. NOTIFICATION OF ANY DEFECTS OR MISSING ITEMS MUST BE MADE VIA EMAIL OR PHONE CALL BEFORE THE EVENT DATE. FINAL NUMBERS ARE DUE 14 DAYS PRIOR TO YOUR EVENT AND AT THAT TIME YOUR DAMAGE WAVIER AND/OR SECURITY DEPOSIT WILL BE ADDED TO THE FINAL INVOICE.

IN ADDITION TO THE DAMAGE WAIVER A REFUNDABLE SECURITY DEPOSIT WILL BE ADDED TO ALL INVOICES. THE REFUNDABLE SECURITY DEPOSIT WILL BE CREDITED BACK AFTER ALL ITEMS ARE RETURNED AND INSPECTED BY OUR STAFF, AND NO EXTRA COSTS WERE INCURRED. LOST/STOLEN OR UN-RETURNED ITEMS ARE AT A COST OF NO LESS THEN TEN (10X) TIMES THE RENTAL FEE FOR EACH ITEM. ANY DAMAGE INCURRED TO THE TENT(S) WHILE IN THE CLIENTS POSSESSION WILL RESULT IN ADDITIONAL CHARGES TO THE CLIENT. * DUE TO WEATHER AND/OR HIGH DEMAND WEEKS, PETERBOROUGH TENT AND EVENT RENTALS MUST HAVE A MINIMUM OF A 3 DAY WINDOW ON ALL DELIVERIES AND PICK UPS. ALL DELIVERIES WILL BE DETERMINED THE WEEK PRIOR TO THE EVENT. WE RESERVE THE RIGHT TO MAKE CHANGES TO THE TERMS AND CONDITIONS WITHOUT NOTICE. The client is responsible to obtain any locates, permits and zoning permissions if they are required.  

Client must provide Peterborough Tent and Event Rentals with final numbers no later then 30 days (*1 Please not below) prior to event at which time final payment is due. If your numbers have changed please provide us with those final changes ( we do understand that numbers do change, so we do allow a one time change of your original booked quantity of items at a maximum of 15% drop in numbers without penalty, any numbers below the 15% drop in original number/quantity will result in a lost of deposit on those items, or a restocking fee whichever number is higher) If your numbers are going to drastically change please let us know 90 days prior to your invoice date (*2 please note below) to avoid any additional charges. After we have confirmed your final numbers your final invoice will be updated and final payment is due. Full payment is due no later then 30 days prior to your event. No changes can be made after this time. (*1 note weddings or events that were pushed off to the next year from 2020 to 2021/2022 are required to have a minimum of 50% of your total rentals paid no later then 90 days prior to your event) (*2 this does not apply to wedding or events that were moved from 2020 to 2021)

(*3 note, Due to covid-19 still being an issue we have no problem moving your event to 2022 with out any penalties as long as we have a minimum of 60 days notice, if you have already moved from 2020 we will require a minimum of 90 days notice, also we will require that any wedding or event that moves from 2021 to 2022 are required to bring their initial non-refundable deposit to 50% deposit, so another 20% deposit to bring your total payments to 50% of your total rentals)
